Basic plan

Reuse your setup with templates

Save a document's look, sign-in card, lead form and sharing settings under a name, then apply them to any other document in one step.

If every document you share carries the same branding, the same sign-in card and the same form, set it up once and save it as a template. Applying that template to another document gives it the same setup in one step, images included. Templates come with the Basic plan; on Pro they also carry the Pro-only settings.

Save a template

Open the document in Configure & Share and click Save as template, next to Download PDF. Give the template a name (up to 80 characters, one of each name per account) and save. The template is a copy of the document's setup as it is at that moment: changing the document later does not change the template, and deleting the document does not delete it.

Any images the setup uses, the viewer logo, a background image and the sign-in card's logo or banner, are copied into the template, so it keeps working after the original document, or its logo, is replaced or deleted.

What a template contains

  • The look. Background, logo, page style, flip and swipe behaviour and viewer protection. On Pro, also the accent colour, toolbar theme, badge position, call-to-action button, watermark style and Google Analytics ID.
  • The sign-in card (Pro): page colour, button colour and the logo or banner.
  • The lead form (Pro): the email gate, its fields, the domain allowlist and the card's heading and message.
  • The viewer mode and the sharing switches: downloads, opened alerts, read receipts, reader comments, page marks, annotations, watermarking and the reader-facing expiry countdown.

Not included, because they belong to one document: the password, the link name, the expiry, the view limit, the page range and the hotspots. Applying a template leaves all of them exactly as they are on the document you apply it to.

Apply a template

Open the document you want to set up, click Templates and then Apply beside the template. Confirm, and the document's settings are replaced; the editor reloads to show them. The document's own logo, background and sign-in card images are replaced by the template's (or removed, if the template has none); hotspot media is never touched.

Two things are skipped rather than failing:

  • Pro-only settings on Basic. Applying a template saved on Pro while you are on Basic applies the Basic parts; the confirmation message says so. The document keeps its own lead form, email gate, comments, marks, annotations and watermark. Pro-only look settings (brand colours, call-to-action button, sign-in card look, Google Analytics, watermark style) can't be kept on Basic, so they are cleared, just as they are when you change a document's look on Basic.
  • Watermark on very large files. Watermarked downloads are limited to files up to 100MB. On a larger document a template that turns both on applies the download setting and leaves the watermark off.

Templates are applied by the same rules as the settings panels, so a document never ends up with a setting its plan cannot hold.

Delete a template

Click Templates, then Delete beside the template. Documents the template was applied to keep their settings; only the template and its image copies are removed.

Limits

Up to 50 templates per account, each with a name up to 80 characters that is unique within the account (case-insensitively). Saving and applying need Basic or Pro; a downgraded account can still see and delete its templates.
