Automate PDF sharing with Zapier

By Nick ·

Connect EveryPage to the 7,000+ apps on Zapier - in both directions. Whenever a PDF lands somewhere - a new file in Google Drive, an email attachment, a form upload - have Zapier send it to EveryPage and hand back a secure, trackable link you can route anywhere. And when your readers act - opening a document, completing the email gate, downloading a copy - EveryPage triggers fire a Zap the moment it happens. See the Zapier integration overview for the full trigger and action catalogue.

What you need

Connect EveryPage

  1. In the Zap editor, add EveryPage as an action app.
  2. When prompted to connect an account, paste your EveryPage API key. Zapier verifies it and remembers the connection for future Zaps.

Actions: from any app to a tracked link

The core action is Upload PDF & get tracking link. Map your trigger's file to it (most file apps expose the PDF directly) and optionally set the filename and protections. The action uploads the PDF to your EveryPage account and returns the share URL, QR code, embed code, and file ID, which you can use in any later step. Further actions update a document's settings (including its expiry rules), find a file by name, mint per-recipient link variants (Pro), replace the content behind a live link (Pro), pull an analytics summary, or delete a file.

Triggers: know the moment it gets read

Triggers run the other way: reader activity in EveryPage starts the Zap. Most deliver instantly - EveryPage pushes the event to Zapier the moment it happens, rather than waiting for a polling cycle.

  • New Document Read - a reader opened your document, with pages viewed and reading time. Available as polling or instant.
  • New Form Fill / Email Gate Capture (Pro) - a lead completed your email gate or capture form; the fields arrive ready to map into your CRM.
  • New Download - a reader saved a copy.
  • Link Expired / Self-Destructed - a link reached the expiry date or view budget you set for it.
  • New Reader Comment and Receipt Confirmed - feedback and proof of delivery, pushed as they happen.

The lead-capture pairing is the one to know: put an email gate in front of a document, and the New Form Fill trigger posts each captured lead straight into HubSpot, Salesforce, or any CRM on Zapier - while the lead is still reading.

Example Zaps

  • New form fill on a gated whitepaper → create a HubSpot contact with the captured fields.
  • New document read → Slack DM to the deal owner naming the document and how far they got.
  • New PDF in a Google Drive folder → upload to EveryPage → email the tracked link with Gmail.
  • New row in Google Sheets → create a link variant labelled with that recipient.
  • Deal marked Closed-Lost in the CRM → update file settings to expire the proposal link.
  • New download → append a row to a spreadsheet.

What data is sent

Actions send the PDF you map to them to your EveryPage account over HTTPS, authenticated with your API key. Triggers deliver the reader events you subscribed to - document, timestamp, and the readership fields your plan reports - to your Zapier account. Nothing else is shared. See the privacy details.

Questions

What can I automate with EveryPage and Zapier?

Any workflow that produces a PDF - or reacts to one being read. Upload documents from Drive, Gmail, or a form and route the tracked link anywhere; and fire Zaps from reader activity: a document read, a lead captured through the email gate, a download, a comment, a confirmed receipt, or a link reaching the expiry rule you set.

Is there a trigger for when a PDF is read?

Yes. The New Document Read trigger fires when a reader opens your document, with pages viewed and reading time - available as a scheduled polling trigger or as an instant trigger that pushes the event the moment it happens. Downloads, form fills (Pro), comments, receipts, and link-expiry events have instant triggers too.

Which Zapier plan do I need?

The triggers and the Upload PDF action work on any Zapier plan, including the free tier. Multi-step Zaps that chain steps across apps require a paid Zapier plan.

How does EveryPage authenticate in Zapier?

You paste your EveryPage API key (Account -> API keys, starts with ep_live_) when you connect the EveryPage app in Zapier. The integration attaches it only to requests whose host is everypage.co, over HTTPS - when a Zap step fetches your PDF from somewhere else, that download carries no credentials. You can revoke a key anytime from Account -> API keys.
